Advantages of documents digitization in the transportation industry

The fact that the transport sector is immersed in a profound structural change has been latent for some years now. We are talking about what is already known as the digital era of transport, and it is that a sector with deep-rooted analogue practices has been forced by market demand and new legislation to evolve at a forced pace.

The latest bombshell has arrived with the obligatory electronic CMR from November 2024. Even so, there are many companies that do not give enough importance to the digitization of information, without being aware of all the benefits they can achieve.

The digitization process implies the digitization of documents. Thanks to technology, thousands of documents can be analysed, catalogued and exchanged in a matter of seconds, which, when treated in a traditional way, would entail a temporary investment of more than 200% and capital around 40% more than using new digital tools. But this is just one of the benefits that the digitization of information brings with it, we can highlight others such as:

- Efficiency and reduction of errors. Documentation processed digitally under security standards is unalterable, does not change and cannot be degraded.

- Reduced administrative burden for drivers. Document processes are reduced to the use of a mobile device or tablet from which the driver can manage everything necessary.

- Cost savings. Paper use and storage savings are reduced, as well as personal and time savings.

- Improve relationships with customers and collaborators. Digital documentation is more reliable and allows for better processing across different digital systems and platforms.

- Better control of equipment and personnel. The transmission of documentation in digital format is instantaneous, which facilitates the management of means to adapt them to the needs of each service.

- Faster invoice processing. The speed of digital documentation also allows for the speeding up of administrative procedures to pay for logistics services.

- More transparency. Digital documentation is transmitted much faster and more reliably than paper-based documentation. In this sense, it contributes to creating more transparent environments between the different actors in the supply chain.

The "Paperless" trend is more than evident and necessary for all the advantages it brings in terms of savings, sustainability, efficiency and reliability.

At Meribia we are aware of the importance of these digitalisation processes and we have incorporated a series of modules into Meribia Transporte that respond to these needs. We offer the possibility of going further to achieve a greater integration of all the documents that are used in a transport and/or logistics company and that, until now, have been processed independently.

Meribia offers the possibility of managing the e-CMR, developed with Transfollow, the OCR module, optical character recognition for the standardization of paper or digitized documents, electronic invoices or the Meribia Sign module that allows the signing of pdf documents making them available to all participants. We are talking about a more agile, secure document management, with legal guarantee and available from any device at any time.

In addition, Meribia's mSedeE is an electronic platform for interaction for company members, customers, suppliers, partners... that allows the processing of document management in a secure, unalterable and fully accessible way.

Meribia incorporates all the possibilities offered by the digitization of documentation in transport, turning rudimentary procedures into instant actions.
